Common area bookings

How to book common areas such as the event room, barbecue area, court or gym: schedules, available time slots, automatic approval or administration approval, and booking statuses.

The event room on a Saturday, the barbecue area for a birthday party, the court first thing in the morning. If your condominium has common areas enabled in ArmorPass, booking them takes four steps from the app: you choose the area, the day and the time slot, confirm, and wait for the booking to be approved. No paper slips at the gate and no writing names in a notebook nobody checks.

How to book a common area

  1. Go to the bookings section of the app.
  2. Choose the area you want to use: event room, barbecue area, court, gym or whichever your condominium has enabled.
  3. Choose the day and the time slot. The app shows the available slots, so you see at a glance what is free and what is already taken.
  4. Confirm the booking. The app records your request with the area, the day, the time slot and your unit.

On the day of the event, your booking shows at the gatehouse along with the others, so the guard knows what activity is going on inside and who to let in. If you invited people, also create the corresponding QR passes: the area booking enables the space, and the passes authorize the people.

Schedules and time slots

Each area has its own usage calendar defined by the administration: what time it opens, what slots it is booked in, and how far in advance you can request it.

  • Slots are the stretches the day is divided into, for example morning and afternoon for the event room, or single hours for the court. When you pick a day, the app only offers the available slots.
  • An area may require cleaning time between slots: if the event room is booked in turns, the setup and cleaning windows are already discounted from what you can choose.
  • Some areas accept recurring bookings, like the court every Tuesday at the same time. If your condominium has it enabled, the option appears when creating the booking.
  • The area's own rules (capacity, until what hour music is allowed, whether a deposit is paid) are defined by the administration and you find them alongside the area information when booking.

Automatic approval or administration approval

What happens after you confirm depends on how the administration configured each area:

  • Automatic approval. On confirming, the booking is approved on the spot, because the area works on a first come, first served basis and the calendar is the only rule. Ideal for courts and spaces with steady use.
  • Administration approval. The booking stays pending and the administration reviews it before confirming. It is used when the area needs additional conditions: paying a deposit, signing responsibility for damages, or checking the purpose of the event.

In both cases the status of your booking stays visible in the app: pending, approved or rejected. When it changes, you get a notification, so you do not have to keep checking back. If a booking is rejected, the reason comes with the response, and you can request another time slot again.

Canceling or changing

You can cancel a booking from the app, and it is best to do it ahead of time: the slot goes back to being free for another neighbor and your record stays clean. To change the day or the slot, the simplest path is to cancel and book the slot you need again.

If you repeatedly do not show up for a booking, the administration can restrict new bookings for that area, just as in any condominium booking system.

Frequently asked questions

Can I book on behalf of someone else? The booking is under your unit's name, so make it yourself and keep a record of who uses the area. Guests enter with their passes.

How far in advance do I need to book? It depends on the area: some accept same-day bookings, others ask for requests days in advance. The app only lets you choose among the enabled dates.

Why do I not see an area in the app? Because your condominium has not enabled it for bookings yet. Mention it to your administration on the chat.

How do I know if I was approved? The status changes in the app and you get a notification, whether it is approved or rejected.

Does the guard know I booked the event room? Yes, the day's bookings show in the gatehouse app, along with your guests' passes.
