Chat with the administration

How the chat between residents and administration works, with the history kept on record, and how it switches between open community mode and administration and security only mode.

The chat is the direct channel between residents and your condominium's administration. Unlike a phone call or a loose message, the conversation is kept with its history: the administration sees who you are and which unit you belong to, and can answer with context, without you re-explaining the case from scratch every time. It is the channel for errands, permissions and everyday questions; for what needs a formal record there is the PQRS.

The ArmorPass chat also has a particularity: it can run in two modes, open community or administration and security only, and the administration switches between them depending on what the condominium needs at each moment.

How you talk with the administration

  1. Open the app and go to the chat.
  2. Write your question. When you start the conversation the administration already sees your name and your unit, so there is no need to introduce yourself in every message.
  3. Send it and wait for the reply. The administration answers from their panel, and the conversation stays in the history on both sides.

Having it in writing changes the quality of the exchange: the commitment is on record, what was agreed can be read again, and there is no each-party version of what was said.

Open community or administration and security only

The mode switch decides who takes part in the chat:

  • Community mode. The chat is open to all the condominium's residents: neighbors and administration in one shared space. It works for coordination between neighbors, cross-notices and community life, with the administration present to keep order and answer.
  • Administration and security only mode. The chat is restricted: only the administration and the security team talk with each resident, without broadcasting to the rest. It is the mode for delicate weeks, when a sensitive matter is in progress, or simply when the condominium prefers a service channel over a public square.

The mode change is made by the administration from their panel and applies to the whole condominium, not to individual residents. It is a good idea to announce the change in a notice, especially when restricting the chat, so nobody thinks the channel broke: residents can still write, only the reach of the conversation changes.

Who talks about what

  • Residents. Errands and permissions, questions about charges and receipts, coordinating visits and events, everyday reports that do not need a PQRS.
  • Administration. Answers with the unit's context, follow-up on agreements, one-on-one communication.
  • Security. In restricted mode, the gatehouse also takes part in the chat: coordinating a delivery, confirming an entry with the resident, reporting something in real time.

Best practices

  • Truly urgent matters do not go by chat: call the gatehouse. A message can wait to be read.
  • One topic at a time: switching subjects in the middle of a conversation leaves both half-finished.
  • Keep sensitive details out of community mode: it is not the place to write who is traveling or for how many days.
  • To request something with formal follow-up, create the PQRS and use the chat only for the operational side.
  • Check the history before asking again: the answer may be two messages up.

Frequently asked questions

Can I delete chat messages? The history is kept as a record of the conversation, so assume that what is written persists on the administration's side.

Why did I stop seeing my neighbors in the chat? Because the administration switched to administration and security only mode. It stays open for you, with a different reach.

Does the guard see the chat? In restricted mode, the security team takes part in the channel. In community mode, it depends on your condominium's configuration.

Can I open a private chat with another neighbor? The ArmorPass chat connects residents with the administration and security; it is not messaging between neighbors.
