FastPass for frequent visitors

How to create a FastPass for recurring visitors such as household staff, delivery drivers and service providers, how to limit its days and hours, and how to revoke it when it is no longer needed.

Creating a new pass for the same person every day is a chore, and that is exactly what the FastPass solves. A FastPass is a recurring pass: you create it once for a visitor who comes back (the person who helps at home, the usual delivery driver, the gym technician) and from then on that person enters with their code without you having to authorize entry after entry. The authorization is still yours, but it is granted in advance and under the rules you set.

This guide explains how to create one, how to scope it down and how to remove it.

When to use a FastPass

Use a FastPass when the same visitor needs to come in on a recurring basis: household staff, a nanny, a gardener or a worker on a renovation, regular delivery drivers, providers on periodic maintenance, teachers or trainers who come several times a week.

If the visit is one-off, a single day or a single event, you do not need a FastPass: a regular QR pass is enough.

How to create a FastPass

  1. Go to the passes section of the app and tap create pass.
  2. Choose FastPass or recurring pass.
  3. Type the person's name, exactly as the guard will read it at the gatehouse.
  4. Set the validity: from which date to which date it works.
  5. Set the usage limits, if your condominium has them enabled: days of the week and the hours when the person can enter.
  6. Share the link with the person, just like with any pass. When they open it they will see their QR code, ready to present every time they arrive.

When the person arrives, the guard scans their code and the entry is registered as a FastPass, under your name. You can see each of their entries in the app, with date and time.

How to limit a FastPass

A well-scoped FastPass gives peace of mind. When creating it, review these options according to what your condominium offers:

  • Validity. Give it an end date. A FastPass with no expiration authorizes entries for an indefinite time, which is rarely necessary. If the person renews with you, you extend the validity.
  • Days and hours. If enabled, restrict the days of the week and the time range. The housekeeper who comes Monday through Friday from 8 a.m. to 1 p.m. does not need access on Sundays.
  • Periodic review. Every so often, review your list of active FastPasses and close the ones you no longer use. It is the practice that prevents the most problems.
  • One person per pass. Avoid creating a generic FastPass under a company's name for anyone who works there. Better one pass per person, so the record always says who came in.

How to cancel or revoke a FastPass

  1. Go to the passes section and find the FastPass in your list of active ones.
  2. Tap the pass and choose cancel or revoke.
  3. Confirm. The pass stops being valid immediately: if the person shows up with that code, the gatehouse app will show it as not valid and will not register their entry.

Cancel the FastPass as soon as the relationship ends: renovation finished, provider changed, service contract over. There is no need to wait for it to expire on its own. If you want to pause it for a few weeks and pick it back up later, the safest alternative is to cancel it and create a new one when the person returns.

What the guard sees

For the gatehouse guard, a FastPass reads like any pass, with one difference: it appears as recurring, with your name as the authorizer and with the limits you set. If the person arrives on a day or at an hour outside what is allowed, the gatehouse app flags it, and the guard decides according to the condominium's rules: they can deny entry or call you to confirm it as a one-time exception.

Frequently asked questions

Does the person need to install the app? No. The FastPass travels as a link and opens on any phone showing the QR code, just like a regular pass.

Can I have several FastPasses at once? Yes, one per person. The active passes list shows them all with their validity.

Does the FastPass work in another condominium? No. Each pass is valid only in the condominium or site it was created for.

Do I get notified on every entry? Entries are recorded in the app with date and time, so you can check them whenever you want. The immediate notification on each scan belongs to the one-off pass; if you need to know about every FastPass entry, raise it with your administration.

Can I edit the days and hours after creating it? It depends on your condominium's configuration. If editing is not available, cancel the FastPass and create a new one with the right limits.
