How to create a QR pass for a visitor, how to share it, what the visitor sees on their screen, what happens at the gatehouse when the code is scanned, and how a single-use pass differs from a group pass.

The QR pass is the heart of ArmorPass: an authorization you generate, your visitor carries it on their phone, and the guard validates it at the gatehouse with one scan. This guide walks the full life of a pass, from the moment you create it to the moment your visitor is inside, including how to share it, what the visitor sees, how many times it can be used, and when it expires.

How to create a QR pass

  1. Open the ArmorPass app and go to the passes section.
  2. Tap create pass and choose visitor pass.
  3. Type the visitor's name, exactly as the guard will read it at the gatehouse.
  4. Set how long the pass stays valid: the date and time by which the visitor can arrive.
  5. Confirm the details and the pass is created, with its QR code ready to share.

If the visitor comes back often (household staff, a service provider, a regular delivery driver), instead of a one-off pass you want a FastPass, which does not need to be renewed every time.

How to share the pass

The pass travels as a link, so you can send it through whatever channel you use with your visitor: a text message or any messaging app.

  1. With the pass created, choose the share option.
  2. Pick the contact or paste the link into the conversation you prefer.
  3. Let your visitor know to present that link at the entrance: when they open it they will see the QR code on screen, without installing anything.

If the visitor does not have the link on their phone, the guard can also look the pass up by your name or the visitor's name and validate it from the gatehouse app, with your prior authorization on record.

What the visitor sees

When your visitor opens the link, a simple screen appears with a large QR code, the name you gave the pass, the address or condominium it belongs to, and its validity. The visitor needs no account, no app, no sign-up: just open the link and show the screen when they reach the entrance.

What happens at the gatehouse

  1. Your visitor arrives and shows the QR code on their screen, or says whose name they are visiting.
  2. The guard scans the code with the gatehouse app.
  3. The app validates the pass instantly: if it is current and active, it shows the visitor's details and who authorized them, which is you.
  4. At that moment you get a notification that your visitor is arriving, with their name.
  5. The guard registers the entry and lets the visitor through. It is on record who came in, who authorized it, and at what time.

If the pass has expired, was canceled, or was already used, the gatehouse app says so immediately and the guard does not let the person in. With any doubt, the guard can contact you using the details shown next to the pass.

Single use or group pass

A regular pass is for one named visitor and one entry: when the guard scans it and registers the entry, the pass is marked as used and will not work for a second entry. If your visitor needs to leave and come back in the same day, the simplest path is to create a new pass, or let the guard know so the re-entry is logged under the same authorization, following your condominium's practice.

For events or groups (a party, several technicians coming together, a whole family), there is the group pass: a single pass created with several names or with a headcount, and a validity you set. Each member of the group presents the same code and the guard registers the entries one by one, seeing how many are still to arrive. When the quota is filled or the pass expires, it stops being valid.

Validity and expiration

  • The pass is valid until the date and time limit you set when creating it. After that moment, if the visitor never arrived, the pass expires on its own and there is nothing to do.
  • You can cancel a pass at any time before it is used, for example if the visit was called off. A canceled pass is immediately worthless.
  • Creating the pass on the day of the visit, or shortly before, reduces the risk of a forwarded link being used by someone else.

Does the visitor need to install the app? No. The pass opens as a link on any phone and shows the QR code ready to present.

Can I create the pass from a computer? The usual way is the app on your phone, which is also where your arrival notifications reach you.

What happens if I forward the pass to someone else? The pass carries the visitor's name, so the guard will notice the difference. Create a new pass for each person you authorize.

Will I know when my visitor arrived? Yes, at the moment of the scan you get a notification with the visitor's name.

Where do I see the history of my passes? In the passes section of the app you find the created, used, expired and canceled ones, with their date and time.
