ArmorPass is a SaaS QR-code access control service designed for residential communities, schools, and companies. This policy describes what data we collect, why we use it, and what rights the people whose data we process have, whether through this website (armorpass.com) or through the ArmorPass service itself.
2. Data we collect
2.1 Website data
When you fill out the contact form or request a demo, we collect: name, email address, phone number (optional), organization, and the content of your message. We also record basic technical browsing data (preferred language, device type) needed to operate the site correctly.
2.2 Service data
The ArmorPass service is contracted by an administration (residential community, school, or company), which acts as the data controller for its residents, students, employees, and visitors. Depending on the module used, this may include:
- Data of residents or authorized users: name, assigned unit or area, email, phone number.
- Visitor data generated through QR codes: name, photo (when applicable, e.g. school pickup authorization), reason for visit, entry/exit date and time.
- Access logs: who generated the pass, who scanned it, and the scan result.
- Maintenance payment receipts uploaded by residents.
- Survey responses and requests submitted through the complaints/requests module.
ArmorPass processes this data on behalf of the contracting administration, following its instructions. If you are a resident, visitor, student, or employee with questions about your data, your first point of contact is the administration of your community, school, or company.
3. How we use the data
- Operate access control: generate and validate QR codes, log entries and exits.
- Send notifications related to visits, notices, and announcements from the community or school.
- Process common area reservations and survey responses.
- Respond to contact requests and sales demos.
- Improve the security and operation of the service.
- Comply with legal and contractual obligations.
We do not use resident or visitor data for third-party advertising, nor do we sell it.
4. Legal basis for processing
We process data based on: (a) performance of the contract between ArmorPass and the contracting administration, (b) consent given when submitting a form or generating a pass, (c) legitimate interest in maintaining the security of the premises, and (d) compliance with applicable legal obligations in each country where we operate.
5. Data retention
We retain data for as long as the contractual relationship with the administration lasts, plus any additional period required to comply with legal obligations or resolve disputes. Access logs and visit history are retained according to the retention settings defined by the contracting administration, subject to a reasonable maximum set out in the service agreement.
6. Who we share data with
- With the contracting administration (community, school, or company), which decides which residents and visitors are registered.
- With technical infrastructure providers that help us operate the service (hosting, notification delivery, transactional email), under confidentiality agreements.
- With competent authorities when required by law.
We do not share personal data for third-party marketing purposes.

8. Your rights

In the school module, ArmorPass processes data about minors (for example, pickup authorizations) exclusively under the direction and responsibility of the contracting school, which is responsible for obtaining consent from parents or guardians in accordance with applicable law.
11. Changes to this policy
We may update this policy from time to time. We will post the date of the last update at the top of this document. Material changes will be communicated through the service's usual channels.
